We are currently seeking a detail-oriented, well-rounded, self-motivated Administrative Specialist to join our team in Toronto, located near Toronto Pearson Airport.
Job Responsibilities
- HR Support – assists in the preparation and proofreading of job descriptions, posts jobs on various job boards, assists with employee onboarding, orients new staff on policies, procedures
- General Office – travel arrangements (airline and hotel), acts as back-up relief for phones
- Sales and Marketing Support – assists with sales and marketing projects and initiatives as needed, i.e., creation/editing of marketing collateral, web content
- Laboratory admin support for report processing, as required
- Composes and edits correspondence, memos, manuals, brochures, reports, and handouts
- Schedules meetings and prepares meeting agenda
- Organizes training, client meetings, team meetings and events as needed
- Ensures Safety Data Sheets (SDS) are current/updated and filed as hard copy and digital
- Provides documentation support for managers
- Assists with general filing and file management
Skills
- Positive attitude, able to handle pressure, confident and articulate phone manner
- Excellent interpersonal and communications skills, both verbal and written
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Internet functions; advanced skills in MS Word with knowledge of proper document formatting
- Working knowledge of email, scheduling, spreadsheets, and presentation software
- Knowledge of Adobe Create Suite (InDesign, Illustrator, Photoshop) an asset
- Ability to proofread documents to identify grammatical, punctuation and spelling errors
- Accurate keyboarding skills
- Ability to prioritize with excellent organizational skills, attention to detail, and high degree of accuracy
- Ability to multi-task and problem solve
- Must be self-directed and able to complete projects with limited supervision
- Must be a strong team player, able to work collaboratively and effectively with a variety of people, personalities, skills, and organizational levels
- Takes personal responsibility for working efficiently, and continuously suggesting improvements to processes
- Uses discretion and maintains staff confidentiality

Education & Experience
- Post-secondary education or equivalent work experience
- Minimum seven (7) years related experience in a service environment, or equivalent combination of education and experience
